How to Automate and Simplify Prospect Call Scheduling

Over the past nine years of running a business, I have come across many clients who spend far too much time trying to schedule calls with prospective clients. They will go back and forth for hours via email or text message to pick a day and time to meet that works for everyone. Sometimes they miss out on opportunities by forgetting to respond, or the prospect never gets back to them on a good date and time. This even use to be me until I realized it was not sustainable and I needed an easier way to book and close clients, especially as life got busier. Today we’ll be talking about just that, “How to Automate and Simplify Prospect Call Scheduling”.

I have 5 strategies to share on this.

1. Sign up for an online scheduling platform like Calendly

You can sign up and create 1 event type (your discovery call) with their free plan. To decrease your chances of no-shows, I personally recommend signing up for their Pro plan which is $15/month as it allows for text message reminders, branding customization, and multiple event types which you can use to automate scheduling for other meetings in your business. This is what I do.

2. Create an event that is used just for discovery calls

This should be 30 mins – 1 hour in length, have a description that explains what you’ll be talking about in your calls and what they’ll need to be prepared (quiet location, pen, and paper), and have email and text reminder notifications on.

3. Setup the event so that you are going to call them

You don’t want them to call you because they may not call. You don’t want to do Zoom unless you are comfortable selling over the video, I don’t recommend this because if you use a call script you’ll be looking down a lot and potentially not looking knowledgeable and confident.

4. Choose to redirect prospects to a questionnaire after they schedule time with you

You can get more details regarding what they need assistance with. I use 17hats for my questionnaire so that they come in as a lead in my CRM (customer relationship management tool).

5. Optional: Setup a dedicated domain for your discovery call

This either has the Calendly event embedded onto a branded webpage or redirects to your event so it is easier to share your booking link.

Once this is complete you can share your discovery call link more easily via email, social media, and in conversation whenever you speak with someone who may be a good fit for your business.
